Sheffield DocFest is looking for a Hospitality Assistant for its 2022 edition.
Contract: Fixed-term, payroll contract (3rd May – 1st July 2022)
Hours: Full-time
Fee: 44 days // £75 per day // £3300
Summary of deliverables:
- General assistance with travel and accommodation for Talks & Sessions Guests,
- Marketplace Decision Makers, Filmmakers and any other VIPs as directed by the Senior team and Hospitality Coordinator;
- Regular updating teams on any changes in travel and accommodation costs and liaise with the Hospitality Coordinator on budgetary issues;
- Assist with the DocHost and Budget Accommodation programmes;
- Greeting guests;
- Communicating schedules, hotel and travel bookings to all guests in good time in advance of the Festival;
- Continuously updating and tracking internal databases on; Microsoft excel and Google drive including actual spends in the budget;
- Provide general travel and accommodation information to guests and delegates;
- Assist with keeping travel and accommodation pages up to date with accurate information;
- Assist in maintaining the guest section of the administrative site – all offers to be reflected in guest sections and kept up to date;
- With the Hospitality Coordinator continue to use appropriate systems to ensure accurate filling of travel and hotel bookings and receipts;
- Be present at the Delegate Centre during the Festival to assist with any queries or questions the delegates have;
- During the Festival assist with guest reimbursements;
- Assisting with the supervision of volunteers during the Festival;
- Provide feedback to the festival team as required after the Festival;
- Assisting with general office administration;
- Any other reasonable tasks as required.
